Terms and Conditions

Effective August 8, 2026

These terms apply when you register as a vendor, commit to a sponsorship, or attend HobbyFest at Dow Park on Saturday, October 3, 2026. Registering or attending means you accept them.

Who you are dealing with

HobbyFest is organised by Hobby Area Management District. Reach us at 713-516-2050 or [email protected]. Post reaches us at P.O. Box 22167, Houston, TX 77227-2167.

The festival takes place at Dow Park, 7942 Rockhill St, Houston, TX 77061, on Saturday, October 3, 2026 from 11:00 AM to 4:00 PM. Admission is free.

Vendor registration

Submitting the vendor form is a request for space, not a confirmed booking. Your space is held once your payment clears, and we confirm it directly. We may decline any registration, and we will refund any payment already made if we do.

Current fees:

  • Food Truck / Main Food Booth: $150
  • Snack / Dessert Vendor: $100
  • Artisan / Craft / Merchandise: $100
  • Community & Professional Services: $150
  • Non-profit Organization: agreed with us case by case
  • 10x10 tent provided by us: $150, added to the category fee

We assign space numbers and load-in times. Placement is at our discretion and takes account of your generator, propane and footprint answers. Give us accurate answers: an unsafe or oversized setup may be refused entry on the day, with no refund.

Payment and refunds

Payment is by Zelle to Hobby Area Improvement Corporation, or by check payable to Hobby Area District. This site never collects card or bank details.

Vendor fees are non-refundable and there is no refund deadline. You agree to this when you sign the registration. The one exception is above: if we decline or cancel your space, you get your money back.

Sponsorship amounts are likewise non-refundable once your name has gone to print on banners, the festival map or the handout.

What vendors are responsible for

By registering you agree that:

  • If you sell food, you will obtain your own Houston Health Department Temporary Food Permit at least 14 days before the event. We do not obtain it for you, and trading without one is not permitted.
  • If you cook, you will keep a tagged 2A:10B:C, and where applicable Class K, fire extinguisher inside your booth or truck.
  • You will haul away your own trash, cooking oil and wastewater. Nothing goes into the park drains or bins.
  • You will hold any licences, permits and insurance your business needs, and you will comply with all applicable law.
  • You are responsible for your own equipment, stock and cash. Set up and break down within the times we give you.
  • You will not sell alcohol, weapons, or anything unlawful. HobbyFest is an alcohol-free, family-friendly event.
  • You will sell only what you described on your registration. Tell us first if that changes.

Sponsorship

Sponsorship benefits are described on the sponsorship page and depend on the level you choose. Printed benefits such as banners, the festival map and the handout depend on us receiving your artwork before the print deadline. We will tell you that date. If artwork arrives late we will do what we can, but we cannot guarantee printed placement, and that does not entitle you to a refund.

If you sponsor a specific part of the festival, what your sponsorship covers and the amount are agreed between us in writing before payment.

We may decline a sponsorship, or decline to display particular artwork, where it conflicts with the family-friendly, alcohol-free character of the event.

Your logo and name

By registering as a vendor or sponsor, you give us permission to use your business name and, for sponsors, your logo, to promote HobbyFest on the festival map, handouts, banners, this website and our social media. You confirm you have the right to give that permission. Ask us to stop using it and we will, going forward, though we cannot recall what is already printed.

Attending the festival

Admission is free and open to all. Coming to the festival is at your own risk, and you are responsible for children in your care. Please follow directions from event staff and officers on site.

The festival is photographed and filmed. By attending, you accept that you may appear in photographs or video used to promote future events. Tell a member of staff if you would rather not appear and we will do our best to accommodate you.

Weather, changes and cancellation

We plan to go ahead rain or shine. We may change the layout, timings or programme, and in severe weather or an emergency we may cut the event short or cancel it. If we cancel the whole event before it starts, we will refund vendor fees paid for that year. If the event is cut short once it has begun, fees are not refunded, because the costs have already been incurred.

Liability

To the fullest extent the law allows, Hobby Area Management District is not liable for loss, theft or damage to your property, for lost profits or lost sales, or for indirect or consequential losses. Where we are found liable, our total liability to a vendor or sponsor will not exceed the amount that party paid us for the event in question.

Nothing in these terms limits liability for death or personal injury caused by our negligence, or for fraud, where the law does not permit that limit.

You agree to indemnify us against claims arising from your own acts or omissions at the festival, including the food you serve and the equipment you operate.

This website

We keep the information on this site accurate, but details such as timings and layout can change. The site is provided as is. Content, text and images on this site belong to Hobby Area Management District or are used with permission, except for vendor and sponsor names and logos, which belong to their owners.

Contacting you

Registration means agreeing to be contacted about that registration by phone, text and email. Promotional messages are separate and optional. Full detail, including how to opt out, is in our Privacy Policy.

Governing law and changes

These terms are governed by the laws of the State of Texas, and the courts of Harris County, Texas have jurisdiction over any dispute.

We may update these terms. The version in force is the one published here on the day you register or attend, and the effective date is at the top of this page.
