Privacy Policy

This policy covers HobbyFest and this website. It explains what we collect when you register as a vendor or a sponsor, why we collect it, who we share it with, and how to get it removed.

The short version

  • We only collect what you type into a registration form. There is no account to create and nothing to browse anonymously.
  • This site sets no cookies. We run no analytics, no advertising pixels and no third-party trackers. That is why you see no cookie banner.
  • We never take card or bank details on this site. Payment happens by Zelle or by check, directly between you and us.
  • We do not sell your information. Not to anyone, ever.

What we collect

Only what a registration form asks for. Nothing is gathered in the background.

  • Who you are. Your name, business name, phone number and email address, so we can confirm your space and reach you on the day.
  • What you are bringing. For vendors: your category, menu or products, whether you need a tent, whether you use a generator or propane, and your setup footprint. We use this to lay out the park safely.
  • Your agreement. For vendors: the name you typed as a signature and which rules you acknowledged. For sponsors: your level, amount and any notes.
  • Your consent. Whether you agreed to be contacted, the exact wording you agreed to, and when. We keep this so we can show what you agreed to.

If you start a registration and give us a phone number and email but do not finish, we keep those details so we can follow up about the space you were looking at. Ask us to delete them and we will.

Why we use it

  • To confirm your booth or sponsorship and take payment.
  • To lay out the park safely. Generator, propane and footprint answers decide where you are placed.
  • To reach you before and during the festival with your space number, load-in time and any changes.
  • To print your business name on the festival map, handout and, for sponsors, banners. This is public by design and is the benefit you are signing up for.
  • To send you news about future events, but only if you separately ticked the optional box.

Text messages and email

We contact you at the number and address you give us, and only after you have agreed to it on the form.

  • Messages about your registration are required to run the event. This is how you get your space number and load-in time.
  • Promotional messages are a separate, optional tick box that starts unchecked. You are never required to agree to marketing in order to register or to pay.
  • To stop texts, reply STOP to any message. Reply HELP for help. Message and data rates may apply, and message frequency varies.
  • To stop emails, use the unsubscribe link in any email, or write to [email protected].
  • Opting out of promotional messages does not stop the messages you need about a registration you have already made.

We record which box you ticked, the exact wording you agreed to and when you agreed, so both sides have a clear record.

Who else sees it

We share your information with the companies that run the festival for us, and with nobody else. We do not sell it, rent it or trade it.

  • Auri Digital. Customer relationship management. Registrations are stored here, and it is where we message you from.
  • Vercel. Hosting. Serves this website and keeps short-lived server logs.
  • Cloudflare. Domain and content delivery. Traffic to this site passes through their network.

We may also disclose information if the law requires it, or to protect the safety of people at the event.

How long we keep it

Registration records are kept while we plan and run the festival and for up to two years afterwards, so we can invite returning vendors and settle any questions about payment. Consent records are kept for as long as we may need to show what you agreed to. Ask us to delete your information sooner and we will, unless we are required to keep it.

Your choices

You can ask us at any time to:

  • Tell you what we hold about you.
  • Correct anything that is wrong.
  • Delete your information.
  • Stop contacting you.

Children

HobbyFest is a family event, but this website is meant for the adults who register a business or a sponsorship. We do not knowingly collect information from anyone under 13. If you believe a child has given us information, contact us and we will delete it.

Security, honestly stated

Your registration travels over an encrypted connection and is stored in access-controlled systems. No system is perfectly secure, and we will not pretend otherwise. What we can tell you is that this site never handles card numbers or bank credentials, so that category of risk does not exist here.

Changes to this policy

If we change this policy we will update the effective date at the top. If the change is significant and affects people who have already registered, we will tell them directly.
